What a difference a few months makes

Here are 2 photos, 1 taken on my drive from San Diego to Scottsdale before my Christmas trip to Maui through a blizzard and now 2 weeks ago with spring flowers lining the road most of the way! I make this trip almost every month since I always seem to be moving things back and forth. Not a good idea to take pictures while driving with your phone.

What’s New
I’ve been in Scottsdale for the last week and today I’m going to Los Angeles and then I’m heading back to San Diego for a while. This photo is one of the patios I work on when I’m in Scottsdale.

In between business meetings I’ve had a chance to spend time with friends, do some wine tasting with my favorite event coordinator Audrey Hagen, and then attend one day of Infusion Soft’s user conference. Now I’m off to my friend and mentor Kevin Nations’ event in L.A.

I have now connected with all the women who responded to the 1st email about “Women, Wine, Wealth and Wisdom“. It generated quite a lot of interest and it’s taken longer than I expected interviewing potential members to select  the group of exciting fun loving women who will be joining me in this program.

Do You Know How to Build a Life?

Over the weekend I was having a conversation with a client about building a life and building a business like you would build a house.

Even though I’m a Success Architect, I’m not a licensed architect. But I have drawn plans for houses and worked with many builders and architects while my career was in real estate. So follow me with this analogy.

I come from the process of seeing a piece of property as a blank slate and visioning what would be the best design to build on that property to take advantage of the topography, the views, the location in general and most importantly the lifestyle and needs of the people who will live in the house to make sure what is built is to the highest and best use of that property.

But how many people do you know that take that kind of care to create their life or their business?

Do you?

Re-read that from the standpoint of the house being your life. Do you give the life you are creating that much conscious thought?

When looking at how you are creating the blueprint for your life do you look at your life as a blank slate from this day forward?

Do you envision what is the highest and best use of your time taking into account what is really important to you in every area of your life? Taking into account what your biggest strengths and challenges are?

Do you create the blueprint for your life in a way that focuses on your desired lifestyle and who you really are?

Because those are three of the pieces that will lead you to create a blueprint for your life that allows you to live the life of your dreams right now.

Think about how you would be focused on every detail of building or remodeling your home-from major decisions of room placement and sizes all the way down to door handles light switches.

In that situation you have one decision after another to make and they all have to be made to have you end up living in the home of your dreams.

And yet you may not even realize you make decisions all day long that have the same impact on the designing of the life you live in. It’s easier to overlook this because so many of the decisions you make are made subconsciously by default.

Believe me when I tell you that all those subconscious decisions  you thought you didn’t make were in fact made and you are living the result of those decision.

There is no such thing as deciding not to make a decision.

It’s the same thing in your business.

Looking at the landscape of your current business, how does it show up in the life you are building for yourself?

Are you creating a blueprint for your business that supports the realization of the lifestyle you choose to have?

Is your business structured in a way that showcases you in the best way possible?

Have you created a blueprint for your business that uses your raw talents to their highest and best use?

Unfortunately the majority of people put much more thought and planning into working with their architect on a new home or doing a remodel or even buying a new sofa than they do to designing their life.

In fact I would venture to say that many women expend much more thought and effort in creating their wardrobe than they do in creating their life.

Be conscious of the choices you make all day long that create the blueprint for your life with the same level of awareness you give to the other things you are creating.

What’s New
There’s been a lot of travel in my life this year. Since I came home from Maui on January 7th, I’ve been back to Maui for another week in February, made 2 more trips to Scottsdale, Laguna Beach, almost a week in hotels in San Diego and now I’m back in Scottsdale before going to Los Angeles.

I didn’t realize exactly how few days I’d been home this year, less than 10, until I sat down and looked for a task on my calendar. My whole life is on my calendar and I use it as a tool for many things. So this week’s article is about how to learn how to end over-commitment now.

How to End Over-Commitment Now

In three words, it comes with ‘proper calendar management’. Don’t hit the delete button! It’s not an intensive process, it takes less than five minutes a day, really.

Calendar users fall into two camps, more or less. There’s the camp that lives by their calendar and has everything synced from their computer to every other device they own. These people are usually perceived as being overly analytical by the other camp.

The second camp has a calendar on their computer and uses it only for appointments. They consider themselves to be creative and don’t want to be tied down by too much structure.

I realize both of these are stereotypes, but they are based in the reality of clients I work with.

Somehow I fall into the first group, although my calendar never made it off my laptop. At the same time I’m a creative person who fights just about every kind of structure.

So would you like to know how I made my calendar my best friend and my most important tool not only in my business but in my life?

I came to the realization about 4 or 5 years ago that I really didn’t know how I was spending my time during the day. I said what was important to me, but was that really what I was spending the majority of my time doing?

How would I know? I could only guess.

When it came time to look at delegating, how could I delegate if I didn’t know how much time I was spending doing things someone else could do or if I didn’t even know how often I actually did those tasks.

At that time I started an experiment that quickly became a habit.

I found 3 benefits of making your calendar your best friend.

#1 You Can’t Change What You Can’t See

If you don’t know how you’re spending your time during your work day, you have no idea on a scale of 1 to 100 what percentage of time is being spent to it’s highest and best use.

If I asked you to go back and fill in your calendar with how you spent your day yesterday in half hour increments, do you feel confident you could accurately do that?

Could you go back two weeks? Definitely not if you don’t calendar everything you do during the day. Our memories just aren’t that strong.

But how can you gauge your efficiency of completing tasks that move you closer to your desired end result if you don’t have them on your calendar?

How can you tell what percentage of your time could be freed up by paying someone $10 an hour rather than you doing it? What if for $400 a month you could get someone to do tasks that would allow you to add a carefree spa weekend or a wine tasting weekend with your girlfriends to your month because you have the time now.

And you have the money because you’re focused on the creative work only you can do and now you’re getting more of that done which leads to more income producing time.

Thank your calendar for that.

#2 Stop Over-Commitment Now In One Step

The biggest way I’ve found my clients over-commiting themselves is when they have no idea how much time a project they already have in process is going to take.

They don’t know because they haven’t broken down how much time each task will take. You don’t know how much time a task will take because you’ve never calendared it.

So you say yes when you really need to say no because your calendar isn’t giving you an accurate representation of how much time you really have available.

Yes, you will be doing tasks you haven’t done before. But there are only so many types of tasks that show up in your life. Once you start to ball park a time allotment for a task on your calendar, you’ll see how close you actually come to the time it really takes. Now you know. After you do similar tasks a few times, you’ll be able to estimate your timing pretty well.

Wouldn’t that help you know when you already have enough on your plate and really want to say no?

#3 Blueprint Your Top Goals

How can you put a date on the completion of a goal or project that’s important to you if you don’t have any idea how long it’s going to take you to do the pieces that go into it?

When you start a project how do you break it down into manageable steps with deadlines that are accurate if you don’t know how much time the task will take or how much time you will have available to dedicate to this project within the framework of your whole life?

When you map out what needs to take place to complete by a certain date along with the time for each piece you now know where this project will fit in your month or year or life.

This prevents you from eating up your evenings and weekends with miscalculations of your time.

Your calendar also gives you the tools to set markers to make sure you stay on track to hit your date for the completion of the project.

Setting goals and then arbitrarily giving it a 1 year time frame is meaningless if you don’t also create the blueprint for the rest of the process that’s going to make that possible.

That’s almost an impossibility to hit that deadline if you don’t have command over your time with an accurate calendar.

Take your life back and know what you’re doing and why with your calendar working for you.
